Job Posting: Job Summary: We are currently seeking a sharp, motivated, high-energy Executive Assistant to join the Enterprise Information Services (EIS) team. The EA will support our Sr. VP/CIO and other C-level executives in a dynamic, fast paced, growing environment. The ability to anticipate executive needs and build strong working relationships with clients and other staff members will be essential. The ideal candidate will be a quick thinker, exercise discretion and judgment, highly efficient, intensively attentive to detail, extremely organized, disciplined, warm, friendly and collegial. Job Responsibilities: 1. Provides first class administrative and executive support to the Senior Vice President/CIO of Enterprise Information Services. 2. Represents the department in interacting with members of the medical staff, executive management and other internal and external customers. 3. Acts as the central point of contact for all calls, visitors, requests, etc. when requesting time with the Senior Vice President/CIO of Enterprise Information Services. 4. Must become familiar with the organizational structure of the department and the various segments of the medical center in terms of their roles and responsibilities. 5. Maintains and manages calendars for the Senior Vice President/CIO of Enterprise Information Services. 6. Coordinates various meetings with emphasis on time management. 7. Composes and edits reports, presentations and routine correspondence for the Senior Vice President/CIO of Enterprise Information Services for review and signature. 8. Handles and coordinates travel arrangements for the Senior Vice President/CIO of Enterprise Information Services. 9. Completes recurring tasks on schedule. 10. Identifies special projects and high priority requirements and is able to complete within desired time frames and without disruption to the normal work of the department. 11. Maintains Department conference rooms schedule. 12. Responsible for coordination of All Hands Meetings, CIO Awards and department gatherings/celebrations for EIS. 13. Order breakfast and lunch for meetings as necessary and set up conference room equipment. 14. Responsible for maintaining updates to department organizational charts and department phone listing. 15. Answer and screen vendor calls and refer appropriately. 16. May serve as back up to other MAs/EAs and Receptionist as needed 17. Other duties as assigned. Physical Requirements:
A minimum of seven years of experience working in a high level corporate environment, providing administrative support to an executive or relevant work experience, preferably in a healthcare environment.
Knowledge and experience with Microsoft Office Suite and Concur are essential.
Exercises a high level of customer service and leadership in all areas of performance.
Excellent verbal and written communication skills; customer relations skills.
Must display excellent attention to detail.
Must be able to maintain a high level of confidentiality.
Ability to deal with conflicting priorities, works under pressure, and use independent judgment.
Strong organizational skills, prioritization and ability to manage multiple tasks and projects.
