Hennepin Technical College is hiring an experienced Technology Administrative Assistant to join our collaborative and forward-thinking technology department, supporting instruction and learning for our students. Key responsibilities planning, communicating and coordinating key technology initiatives such as purchasing, team reports, communications and equipment to support the technology team. Familiarity with new and emerging technology trends, equipment and tools are essential for success.
Specific Duties Include:
Serving as the administrative assistant to the Chief Information Officer (CIO) and technology services team by preparing reports, communications, planning budget, payroll and team activities.
Serving as the purchasing assistant to the CIO and technology services team by designing and implementing purchasing procedures in addition to approving invoices for goods and services.
Creating and maintain essential technology equipment for new and existing users across the college.
Coordinating technology committee and team meetings so they are efficiently executed and documented accurately.
ENGLISH: Knowledge of English sufficient to fluently speak, read, understand and respond to a variety of written and spoken communications, such as customer questions, detailed instructions and procedures, data reports.
TYPING/KEYBOARDING: Skill in typing/keyboarding sufficient to perform skilled typing tasks with speed and accuracy.
CUSTOMER SERVICE: Skill in customer service to provide prompt, courteous and accurate information to customers in person, on the phone and through email and other written correspondence; promptly respond to customer/co-worker inquiries about division operations and procedures, programs, data, etc; provide assistance/guidance to customers/co-workers on resolving difficult or complex issues.
DATA ENTRY: Skill in data entry sufficient to maintain accurate records and reports; compile, sort and verify data accuracy.
WORD PROCESSING: Skill in word processing sufficient to use software to create, format, edit, print, and save a variety of documents including spreadsheets, databases, tables, charts and graphs. Ability to check completed work for spelling, grammar, punctuation, and formatting.
SPREADSHEETS: Skill in using spreadsheet software applications, such as Microsoft Excel, to enter, compile, store and retrieve data in a variety of reports.
MATH: Knowledge of math sufficient to add, subtract, multiply and divide whole numbers, fractions, decimals, calculate percentages and use simple formulas.
Experience with or understanding of Minnesota State (previously referred to as MnSCU) or Hennepin Technical College procedures.
Accounting/Budgeting/Contracts/Expense Experiences: Knowledge sufficient to analyze and interpret financial information, records and reports; recommend solutions, use governmental accounting system query and compile records, reports and budget requests.
Experience developing and/or implementing administrative and program policies, procedures and standards.
Experience using tools such as Office 365, SharePoint, ISRS or equivalent.
Strong attention to detail and ability to effectively communicate to a variety of stakeholders.
Experience working independently in a fast paced, complex environment.
Experience with technical systems, technical jargon and technical applications.
