50% Distribution and Logistics Department Process Management
Advises departments on distribution operations and provides education as needed
Assists new internal departments/cost centers in becoming established with the University/Health System
Assures quality control for all processes in purchasing and accounts payable
Assures the production of adhoc reports as requested
Completes other duties and projects as assigned by Director
Creates and maintains mappings of current and future business process flowcharts
Defines improvements, implements and maintains integrity of information in the MMIS
Develops department policies, and reviews and evaluates operations as well as assisting with revisions of procedures
Develops recommendations to streamline core business processes, minimizing complexity, training effort and data duplication
Ensures quality and effectiveness of the operation to meet customer and fiscal requirements
Establishes Service Level Agreements with internal customer groups and monitors ongoing compliance
Identify reasons for match exception issues and develop/implement potential resolutions to reduce and prevent future occurrence
Lead operational relationships with external suppliers related to the distribution function
Oversees periodic audits both external and internal
Performs self-assessment tests to ensure compliance to defined processes to meet the control requirements of OSUMC, OSU and the health care industry
Provides leadership to meet organizational objectives
Responds to inquiries and investigates and resolves problems and complaints
Serves on committees and councils as requested
Utilize EDI connections as appropriate to streamline distribution
Develops and manages operating budget for the department
Monitors fiscal reports, investigates and resolves variances
Oversees match exception process
Directs the implementation and daily use of an RFID asset tracking system
Directs cart movement for the centralized materials handling system
Directs point of use supply distribution systems, stockless ordering and receiving processes
50% Distribution and Logistics Personnel Leadership and Management
Conducts on-going employee performance appraisals, builds functional teams and promotes staff development
Conducts organizational studies and recommend changes to meet established objectives.
Develops and maintains appropriate functional and technical skills within the organization to drive continuous improvement
Develops and reports staff productivity statistics
Distributes work to meet service level agreements
Establishes agenda and conducts staff meetings
Establishes measurable operational objectives for process improvement, customer satisfaction, financial performance and productivity for all procure to pay personnel
Evaluates and counsels staff on job performance
Makes job assignments and reassigns personnel to insure completion of all required daily activities
Manages time-keeping records, monitors usage of ill time, and performs initial employee counseling and recommends appropriate disciplinary actions
Promotes inter/intra departmental relationships and communication relating to procure to pay
Provides counseling and shares information with staff, recommends promotions, initiates progressive disciplinary action, and terminates staff as required
Provides leadership and management in Distribution and Logistics
Recruits, hires and orients new staff
Bachelor’s degree in Business Administration, Supply Chain Management, Finance, Healthcare Administration or related field is preferred with five to seven years of supply chain experience, or equivalent combination of experience and education. Supervisory/management experience required. Six Sigma certification preferred.

Technical – excellent knowledge of operations management and supply chain processes in a large organization; and knowledge of effective technology driven procure to pay processes.
