We have an exciting opportunity to join our team as a Administrative Assistant.
In this role, the successful candidate Under limited supervision, provides administrative support and project coordination for the Office. Coordinates the day-to-day administrative support activities of the office and supervises support staff /interns. Coordinates the planning of meetings and events. Creates moderate to complex reports and a variety of other office documents. Prioritizes and arranges activities, appointments and meetings. Coordinates the purchase and processing of all budgetary approved expenses.
Oversees and administers the day-to-day activities of the office; develops procedures and systems which ensure productive and efficient office operation.
Provides assistance and support to the Director(s) and other members of the Office of the CIO in problem solving, project planning and coordination, and assists with development and execution of stated goals and objectives.
Provides administrative support for the Director(s) to include prioritizing the schedule/calendar, making travel arrangements. Screens and handles telephone communications; evaluates incoming and outgoing correspondence and prepares responses as appropriate.
Performs research and analysis on specific issues, as required, and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
Composes and prepares a variety of moderate to complex reports, charts, written documentation and correspondence for the Director(s) and other members of the Office of the CIO.
Serves as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events, as required, including making copies, typing meeting materials, identifying need and arranging for technical support required for meetings and events.
Assists with project development and planning to ensure more efficient service and organization of the office; administers the coordination, supervision, and completion of special projects as appropriate.
Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.
Coordinates and oversees the day-to-day management of supplies, equipment, and facilities for the organization, as appropriate, to include maintenance, inventory management, logistics, security, and related activities.
To qualify you must have 5 years of relevant experience and a bachelor's degree or an equivalent combination of education and experience. This must include experience with overseeing office activities, administering budgets. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Proficiency with Microsoft Office software is essential. Ability to multi-task and/or coordinate multiple assignments are required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required. Previous experience administering office operations in a healthcare setting preferred.
