Position: Asst. Project Manager Location: Verona, Pa Pay: $40,000 to $45,000 yearly Type: Contract to hire. Benefits: Company offers benefits package if hired on.
1. Specification 1.1. Coordinate and direct projects, project tasks, or assist more senior project managers, in making detailed plans to accomplish project goals and directing the flow of work through Company’s standard process. 1.2. Consult with Company’s sales staff, planning department, and clients to prepare project specifications and requirements during project procurement. 1.3. Present and explain proposals, reports, or findings to clients as needed. 1.4. Facilitate with Senior Project Management staff, review, and approve product design and changes. 1.5. Perform administrative functions such as reviewing and writing reports, and providing input about the purchase of materials or services. 1.6. Review project budgets and schedules, and coordinate subcontracts and buyouts with the supply chain department as needed. 1.7. Confer with Senior Project Management, Planning, Design & Engineering, and Production staff to discuss project specifications or budget information as needed.
2. Responsibilities 2.1. New Jobs will be assigned through the Director of Project Management after release from planning & sales to the Assistant PM. Actual workload distribution determined by the Director Project Management. 2.2. Process and manage project workload as assigned by Director of Project Management. 2.3. Cover projects as needed due to workload and schedule or when other APM’s or PM’s are out of the office. 2.4. Coordinate and assist the Accounting department to notify client contacts as needed for overdue payments. 2.5. Monitor all active and assigned projects in Company’s proprietary system to ensure timely processing of billings by the Accounting Department. 2.6. Monitor assigned workload and assist PM with notification of pending or past due requests. 2.7. Submit timely billing requests in compliance with client contracts to the Accounting Department for assigned projects and maintain monthly billing log. 2.8. Responsible to scan and put any required documents into the appropriate storage location within the company’s internal system. 2.9. Support weekly internal and external reporting for assigned project manager(s)/project team. 2.10. Keep weekly meeting minutes for team meeting and disseminate to all stakeholders per schedule. 2.11. Provide internal contact and management point for team members that are traveling for projects under your control. 2.12 Coordinate field staff and supply chain / purchasing to provide the needed supplies and tools for projects during the installation phase. 2.13. Must have or obtain knowledge of company products. 2.14. Inspect physical condition of products on shop floor. 2.15. Visit job sites for project coordination purposes as required. 2.16. Participate in all assigned company training.
2 3.1. Enterprise resource planning ERP software — Filemaker proprietary software; FileMaker (to be trained) 3.2. Project management software —Project Scheduling Software and Gantt charts (Microsoft Project or P3 experience is a plus) 3.3. Word processing software — Microsoft Word; MS Office Suite
4. Qualifications 4.1. Education 4.1.1. 2 or 4 year degree and either construction or construction related field experience or a demonstrated understanding of basic construction practices and a strong desire to learn, or equivalent work experience 4.1.2. Strong desire to have a meaningful impact on a project or project/program team and the successful management of projects to meet Company’s mission of delivering projects on time, on budget, and without claim.
