Haas School of Business Business Service Administrator
The Haas School of Business is one of the largest professional schools on the UC Berkeley campus, comprising over 70 senate faculty and approximately 90 non-senate instructors, employing more than 200 staff and serving over 1,700 students. The School offers six degree programs – an upper division major, three MBA programs targeted to differing student populations, a Masters in Accounting and Masters in Financial Engineering and the Ph.D. in Business Administration. Additionally, the School operates several non-degree programs for business executives.
The Business Service Administrator is part of the Faculty support unit at the Haas School of Business. Under direct supervision of the Manager, the incumbent provides quality professional administrative support services for the Faculty. Works closely with preparers and campus to define and document Haas reimbursement processes and controls. Major duties will include travel and entertainment reimbursement processing, preparing purchase orders/purchase requisitions, creating and maintaining filing systems for payments and reimbursements, producing routine financial reports and assisting with group administrative activities.
Business Service Support 80%
Perform service support tasks using the Berkeley Financial System (BFS), Berkeley Travel & Entertainment systems and Berkeley financial reporting system (BAIRS), Supply Chain Management and BearBuy systems.
Prepare and review forms using knowledge of accounting tasks to pay bills, create invoices and track expenses. Includes, resolving problems by performing qualitative review of individual documents on a case-by-case basis.
• Collect and prepare all documentation e.g. receipts, business explanations, etc. required to process reimbursements for travel, entertainment, purchases, memberships, etc. •Liaise between faculty and campus groups for policy questions, response or problem resolution •Prepare, research and process all paperwork to establish vendors in BFS as needed. Recommend vendors/prices/equipment and identify substitutes for supplies and low value equipment.
• Operate software packages such as Excel and internal UC systems. •Communicate with the Faculty Assistants and other Academic groups regarding any special policy requirements needed for appropriate reimbursement. •Prepare reports and statistics based on information compiled from various sources. Resolve simple software/hardware problems.
Administrative Support for Unit 15% •Serve as back up for seminar series logistics, instructional needs and staff vacancies •Assist with faxing, copying and mailing needs as requested. •Answer inquiries from students, faculty, coworkers and the general public. Direct inquiries to appropriate individuals or departments for further information or assistance.
Career Development 5% •Participate in activities that enhance the campus community and/or larger community to further University service. •Attend classes and trainings which will enhance expertise in job area and future goals. •Work on special programs as assigned.- Exceptional problem solving abilities - Strong customer service and organizational skills •Two years experience as an administrative assistant. •Effective oral/written English and interpersonal communication skills. •Ability to prioritize and manage multiple projects. •Ability to work effectively under pressure and within tight deadlines. •Attention to detail. •Self-motivated. •Demonstrated ability to establish and maintain professional working relationships. •Proficiency using Microsoft Office (Word, Excel, PowerPoint) and office computing hardware and software. Prefer experience using Berkeley financial systems; BFS, BAIRS and Travel & Entertainment.
