Systems Responsibilities Position Summary: Performs assigned routine and non-routine duties as part of the Administrative Support Group for the URMC Information Systems Division (ISD). Duties include greeting and assisting visitors and staff in the ISD reception area, answering multiple phone lines and providing operational support for Information Systems Division to include CIO, CMIO, Sr. Leadership, Administrator, AA and staff. Responsibilities: In a busy, fast-paced environment, duties include: Provides general office support for all ISD locations to include facility needs acting as liaison between landlord and department. Distribution of forms, copying/faxing, maintenance calls for equipment, some typing, monitoring of departmental parking permits, pagers, key ordering etc. Responsible for greeting guests and assisting them to their destination. Processes incoming/outgoing daily mail. Performs administrative duties including travel arrangements and completion of travel & conference expense reports, ordering and coordination food orders/deliveries, maintains office files, orders office supplies, sorts and routes mail. Answers departmental phone lines, and provides cross-coverage for other secretaries. Responsible for scheduling meetings for Sr. Leadership: i.e. Administrator, CIO, CMIO and ISD Directors. Maintains calendars, ISD Conference Rooms, ISD Time Away Calendar, projectors and conference line calendars. Types and composes routine and non-routine letters, email, forms, spreadsheets, etc. from dictation or rough drafts. Develops spreadsheets and presentation graphs from raw data. Provides administrative assistance on projects as assigned. Takes, transcribes and processes minutes. Requirements: Two years of post-high school education for secretarial or word processing studies, or the equivalent and at least two years of secretarial, word processing and practical office experience with demonstrated ability to work with limited direction; or an equivalent combination of formal training and experience. Advanced secretarial and work processing skills, knowledge and ability to operate standard office equipment such as printers, multi-function devices (copy, scan, and fax).
