This position maintains and tracks numerous construction and maintenance projects in the CEO project management software and AIS systems by entering all work orders, accounting, purchasing, billing and collection activities in the applicable systems. This position also provides administrative support to Director, Planning & Design section of Radiology.
PRIMARY DUTIES AND RESPONSIBILITIES:
Enters and maintains a large volume of work orders in project management software accurately entering time spent and materials needed for each project.
Creates purchase orders from software system and enters into AIS system. Prepares check and payment requests and continually monitors to ensure payments are sent a timely manner.
Coordinates billing process by preparing invoices for projects and monitors to ensure payments are received.
Coordinates and tracks the distribution and returning of keys for the department and provides badge security access for Radiology areas.
Assists with asset tracking.
Provides secretarial support for Director by answering phones, maintaining calendar, ordering supplies and general administrative duties to ensure Planning and Design department runs smoothly and efficiently.
High School diploma or equivalent, with some college-level accounting coursework; and 2-5 years’ experience in accounting / bookkeeping.
Microsoft experience - Outlook, Excel and Word.
Experience with accounting, billing or asset tracking software experience a plus.
Must be adaptable with the ability to multitask.
AutoCAD experience helpful.
This position is full-time and works approximately 40 hours per week.
