Uses professional concepts to apply UC, campus, & Financial Affairs policies & procedures to successfully manage a broad scope of administrative tasks & operational issues. Works on projects, independently & collaboratively, providing administrative, analytical, & troubleshooting support to the AVC-Financial Affairs & Financial Affairs directors resolving operational problems. Interacts with constituents, serving as a central point of contact involving Financial Affairs matters, managing department-wide communications, organizing large meetings/conferences, assisting with assigned departmental & campus projects.
FINANCIAL AFFAIRS divisions are:
ACCOUNTING SERVICES: Financial Accounting & Reporting manages general ledger, plant accounting, equipment management, financial reporting, check production-control, bank reconciliation, intercampus accounting, travel program, & key entry services for various campus units. Extramural Funds Accounting manages post-award financial administration of sponsored awards, billing, cash draw-down, receivables, financial reporting, & agency audit coordination. FAST-Accounts payable processes supplier invoice payments, expense reimbursement payments; manages the campus procurement card program. Payroll Accounting manages the campus payroll payment production process, tax-related issues, specialized transactions, & fulfills information requests.
ENTERPRISE FINANCIAL SYSTEMS: Financial Information-CruzBuy facilitates accounting, budgeting, financial reporting, procurement, non-payroll payments, equipment management functions & processes. CruzPay Time/Attendance facilitates campus-wide employee timekeeping processes. Payroll Personnel System/UCPATH facilitates human resource & payroll related functions & processes. Effort Reporting System facilitates mandatory certification of effort on federally-sponsored awards. Website Management manages the technical infrastructure of the Financial Affairs' website.
PROCUREMENT & SUPPLY CHAIN SERVICES: Procurement Services facilitates the timely & cost-effective acquisition of products & services. Business Contracts ensures the risks associated with supplier contracts are managed, & contractual terms are consistent with UC, campus policy & regulatory requirements. Strategic Sourcing negotiates & manages long-term agreements with suppliers that serve the best interests of the campus & University. CruzBuy eProcurement manages & operates the CruzBuy system & other procurement/contract management-related systems. Copy Services manages the copier program serving campus units & the photocopy program serving students, employees, & campus guests. Mail Services processes & distributes mail/parcels to campus customers, provides LiveScan fingerprinting, & postal kiosk services for students & employees. Receiving & Surplus Services provides moving, shipping/delivery, surplus property collection & disposal services.
STUDENT BUSINESS SERVICES: Manages student business accounts, billing, collections; student loan management & counseling; financial aid & scholarship disbursement; third-party billing & receivables; campus cash handling & payment card merchant programs. Maintains the student financial Academic Information System module. Cashier's Office processes, safeguards, deposits, & accounts for cash receipts from all sources, including sub-cashiering stations; manages cash used for departmental change funds.
