General Purpose: This position provides high-level operational, analytic, and technical support to the Sales Department and warehouse partner (TriLiteral currently). The person in this role works with the Sales Director and the Assistant Sales Director; reporting to the Assistant Sales Director in the following areas:
Digital content distribution
Review and prepare PDF and eBook files for distribution.
Manage file distribution to retail, library, and search & discovery partners.
Assist in the maintenance and distribution of metadata for both print and digital editions.
Assist in onboarding of new eBook retailers and platforms.
Warehouse and distribution support
Act as a liaison between warehouse and Yale University Press for inventory management and other Sales Department tasks, including (but not limited to) customer service queries, account management, and order processing.
Purchase order maintenance and entry.
Prepare and circulate weekly new title release list among sales and marketing for approval.
Sales analysis and reporting
Preparation, retrieval, review, and circulation of reports from warehouse, title management, and customer databases (e.g., Ingram iPage, Amazon VendorCentral) systems for Sales department.
Analyze sales trends and supply chain conditions.
Provide sales reporting support to other Yale University Press departments as necessary.
Work with the sales director, inventory manager, and production department to ensure high levels of available inventory for best delivery to retail, wholesale, and library markets.
Prepare on a weekly basis, or as needed, reports outlining inventory needed for both frontlist and backlist titles.
Provide as-needed support for sales representatives, bookstores, and individual customers.
Required Education and Experience: BA/BS and two years of related experience in the same job family or in book publishing or related enterprise (magazine publishing, library, bookstore, newspaper, yearbook, public relations); or an equivalent combination of education and experience.
Excellent proofreading, organizational, follow-through, and writing skills. Ability to proofread for accuracy, spelling and grammar.
Excellent attention to detail.
Demonstrated ability to take initiative, to work independently and under deadline pressure.
Demonstrated ability and competence in MS Office programs, including Word, Excel, and Access.
Understanding of basic HTML. Familiarity with electronic books or digital publishing a plus.
Preferred Education and Experience: BA or BS, Yale Press Internship, graduate of a post-graduate professional level publishing course, or two years experience as a Publishing or Editorial Assistant at Yale Press or equivalent experience at another press.
