Description of Key Responsibility:
1.Administer all aspects of the campus technology procurement program, including: a.vendor selection, set up, negotiation, proofing and paying of vendor invoices b.source and purchase technology (hardware and software) for the college c.evaluating, maintaining, utilizing consortium memberships d.credit card reconciliation for ITS cards e.policies, compliance, procedures, and training f.monthly reconciliation of charge backs to other departments and groups g.maintaining software and hardware license agreements for the campus h.maintain, track and forecast ITS budget activities across multiple department accounts
2.Develops and maintains systems to organize, file and retrieve records for ITS; not limited to, contracts and master agreements, leases, legal, audits, statements of work, insurance, accounting, and general business and correspondence files. Also, organizes and maintains online documents, files, and records
3.Manage computer lab scheduling for the campus.
4.Maintain inventory of and handle ordering of computer supplies (paper, media, filament, toner cartridges) needed by the campus. Coordinates support of the software and hardware of printers, managed print services and multi-function print/copy/scan devices on campus.
5.Handle a wide variety of complex situations and time conflicts involving the business/administrative functions of the office and is responsible for confidential and time sensitive material on a regular basis.
6.Anticipate the needs and use discretion when setting priorities to keep the Vice President updated and aware of meetings, agendas, travel, upcoming events, incoming emails and letters, situations relating to the administrative office, campuses, employees and visitors.
7.Manages the department calendars and contact database to schedule meetings, make travel arrangements (airline, car service, rental car, hotel, etc.), order office supplies/equipment, prepare expense statements, reserve and prepare facilities and catering.
8.Manages the computer recycling program and ensures proper destruction of drives and devices that contain data.
9.Assist ITS in creating policies and procedures that that address technology use, management and disposition.
10.Prepare or assist in drafting and proofreading reports and communications. Create/ maintain organizational charts. Prepare and/or edit presentations, including developing content as well as collecting, collate/merge and review materials submitted by others
11.Attend meetings, take and prepare minutes as requested.
12.Fulfill other related duties as assigned by designated supervisor(s).
A bachelor's degree is required. Additional training in office operations, particularly involving computer applications and data analytics, is preferred. Applicants with the equivalent combination of training and work experience will be considered in place of a degree.
Three to five years of successful, responsible office and administrative experience is required. Excellent typing, spelling, and grammatical skills are essential. Experience in the Information Technology field and database management is a plus. Knowledge and experience in a College environment is preferred.
Assist in the performance of administrative duties for the ITS office area of the institution, specifically assisting the Vice President for Information and Technology, and perform all administrative responsibilities in the execution of these duties. The Executive Assistant works independently and has responsibility for ITS office administration, campus technology purchasing, ITS budget management, information gathering, tracking and analysis, and the highest level of customer service to, and support of internal and external stakeholders. The person in this position works with faculty, staff, and students in academic and administrative departments.
