To support and maintain administrative initiatives in the following work unit responsibilities: Facilities; Mail Operations Center; fixed assets; facility management; contract administration; risk management; vehicle fleet management; inventory/warehouse management; records retention program; and security.
EXAMPLES OF WORK:
Provides administrative and professional support to the director of Facilities and Operations.
Completes correspondence as directed by the director of Facilities and Operations.
Maintains/oversees filing system by insuring filing is done timely. Maintains shorthand/dictation skills. Answers department telephones and provides reception services as needed.
Provides administrative support for internal and outside entities and the University in terms of security, conferencing, meeting scheduling, and facility issues.
Provides internal administrative support for University personnel for daily operational procedures.
Facilitates physical plant complaints and provides proactive maintenance schedules with lessors, State of NJ Department of Property Management and Construction (DPMC) and vendors. Maintain relationships with lessors and State officials for scheduled and unscheduled maintenance issues. Coordinate janitorial requirements with University and external janitorial service. Place phone calls for service; maintain logs, and follow-up procedures.
Oversees and assists in internal and external conference room scheduling, conference room setup, and record-keeping activities. Schedules availability with internal/external personnel. Maintains fiscal record keeping, and conference room requirements, i.e., room setup, technology enhancements, and catering requirements.
Prepares budget transfers as directed; prepares requisitions for department. Prepares departmental invoices for processing.
Education: Graduation from an accredited college with a Bachelor's degree. Experience: One (1) year of professional experience in education, higher education, or other field related to the functions of the position. NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essential duties of the position.
