Providing full administrative support to the COO (and team), CTO (and team), Dealing & Investment Services
Proactive diary management
Arranging travel through the Company provider for both domestic and international travel, ensuring all transportation and hotel bookings are successfully made and that all passport / visa requirements are satisfied in advance
Recording, approving and reconciling expenses appropriately in-line with company policies and procedures.
Typing letters, reports, memos and occasionally attending meetings to minute take.
Telephone Management: Answer calls, take messages from contacts, clients and consultants, filter/prioritise all calls and assist the caller where possible
Collating management information/reports
Manage holiday, sickness forms for the teams you support.
Meeting and greeting guests at reception, as required.
Provide administrative support to other teams to cover holiday/sickness
Occasional updating of PowerPoint presentation material
Booking meeting rooms, restaurants, couriers and taxis
General assistance for the team as required
Any other duty as required by the line manager commensurate with the role.
Job Specific Competencies:
Flexible approach is essential, team player and proactive to team needs.
Good communication skills and good telephone manner.
Excellent organisational skills and accurate record keeping skills essential. Self-starter, proactive & polished.
Investment industry experience is a distinct advantage.
Capable of dealing directly with clients and services providers.
Technical Skills, Knowledge, Systems Knowledge (and associated skill level)
Proven secretarial/PA experience.
Proficient in Microsoft Office.
