Purpose This position has a dual role for the APRO regional office. This position manages assigned custom, open enrollment, international and other programs. This position will also be the administrative office manager ensuring that the basic requirements for bookkeeping, office supplies, staff affairs such as MPF, insurance and government requirements. Finally, the incumbent will execute basic marketing campaigns and provide business development support. The primary objectives are to ensure growth through program quality, providing outstanding client experiences, and customer/faculty satisfaction while contributing to team goals and meeting quality standards and budget expectations. .

Office Administration Management
Complete the bookkeeping for all office expenses and prepare checks for signing by authorized signatories as per Ann Arbors policies and directives
Administer the petty cash for office staff expenses
Complete the administrative requirements for MPF, employee insurance, office insurance, employee benefits, company leasing agreements, liaising with our local legal and audit service providers.
Ensure office supplies are well stocked
Liaise with providers which include telephone, internet, IT service, water delivery, etc.
Complete immigration visa applications for visiting faculty 3 months in advance and for any new hires if needed
Liaise with HR in Ann Arbor to ensure local and US policies are respected
Ensure office meets safety and security regulations
Coordination of Payroll activities with Ann Arbor to include monthly submissions
Documentation/tax filings to the Inland Revenue Department
Administrative Onboarding/Offboarding of staff with home office HR, Payroll, and Internal Revenue Department
Processing renewals of Vendor Contracts and Agreements
Maintain personnel files
Manage office facility and maintenance upkeep, repair, replacement as necessary
Liaise/Coordinate Computer related and system issues for the APRO office
Program Support of Open Enrollment, Custom and International Programs
Interact with program faculty/speakers regarding their program materials and logistic requirements in conjunction with Program Manager
Create and monitor timeliness/due dates for pre-read, program materials, and events and keep track of a variety of programs in different phases of readiness
Work with the Program Manager to ensure quality of all program materials (pre-reading assignments, notebook binder contents, handouts, etc.)
Arrange any special program logistics (tours, off-site dinners, etc)
Correspond with the appropriate units to ensure that the classroom space, audio-visual equipment, and other faculty-specific needs are functioning well and in place for each program
Work with internal/external vendors to obtain program materials and services
Monitor classroom set-up against specifications
Access quality of all logistical details performed by vendors and internal units (for example, the notebook preparation, the room set up, etc.) and take action to correct any elements that are not up to standard
Provide on-site support to ensure the success of program delivery (for example: troubleshooting classroom equipment, escorting participants to special activities, delivering guest service to participants, etc.)
Provide support in responding to needs of team members, office requests and questions
Assist with special projects as needed
Marketing and Business Development Support
Promote the EE portfolio/certificate options and other services including coaching, consulting and custom programs
Pass on leads for additional business opportunities to Professional Development, Business Development and Portfolio Managers
Participate in projects relevant to the promotion and improvement of Executive Education/Ross School of Business including, special projects
A degree in Business Administration or an equivalent combination of education and relevant experience.

Proficiency in MS Office applications (Word, Excel, PowerPoint)
Previous experience in the development and coordination of Executive Education programs or events is highly preferred.
2 or more years corporate experience
Experience developing and monitoring programs, project and budgets
Experience in a client facing role
Fluent in Mandarin would be an advantage
Skills testing may be required.
