Assists Housing Operations in managing the operations of the department, including guest service responsibility for: information systems, facility maintenance coordination, safety and security initiatives, asset management, summer camp & conference activity, guest billing, housing tours, external vendor coordination/interdepartmental relations, and meal plan change tracking/billing.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Ensure Housing Operations meet departmental goals and objectives.
Develop and implement customer service initiatives.
Assist with the development and implementation of departmental performance measurements. Keep current of industry best practices. Research and maintain benchmarking data.
Perform timely updates to the Facility Status web resource utilized by Campus Facilities and Housing Operations.
Establish quarterly facility audits for preventative maintenance or custodial objectives.
Collaborate with Athletics and UCEC to coordinate facility utilization during the spring and summer months while being sensitive to maintenance time schedules.
Continually evaluate housing facility safety and security efforts, ensure safety information is up to date and posted. Make recommendations for enhancements to existing safety and security resources and procedures.
Communicate with students, parents and other University departments to resolve customer service issues.
Collaborate with Campus Facilities to ensure that student initiated work order requests are completed timely and pertinent information is communicated to all relevant parties.
Manage the Housing damage assessment and billing process including the digital image and room inventory database.
Maintain a facility asset tracking schedule to facilitate the replacement budgeting process.
Coordinate summer camp & conference activity, retiree/co-op rental agreements and other guest activity.
Manage Housing Operations' technology resources, including but not limited to, access control systems, security systems and room assignment software.
Ensure compliance with University and departmental policies and procedures, including housing contract enforcement.
Develop and maintain relationships with vendors. Review and approve vendor billings. Coordinate procurement of non-maintenance equipment, furnishings, supplies and services. Work with Campus Facilities personnel to coordinate any joint efforts.
Execute camps/conferences/guest housing managed by the directors in Housing Operations.
Compile database tracking for inventory management and room condition reporting.
Perform other duties as assigned.
Assist with student billing activity, room key reconciliations, and end of semester chargebacks.
Develop departmental forms and publications.
Participate in student orientation programs and/or recruitment opportunities.
Support departmental efforts related to University recycling and sustainability initiatives.
Represent department at various events/meetings.
Perform on duty coverage (on site or remotely) for camps/conferences/guest housing during seasonal times.
Minimum Qualifications: MINIMUM QUALIFICATIONS:
Bachelor's degree required in related field.
Excellent interpersonal communication skills.
Ability to organize and prioritize workload and coordinate activities.
Well developed personal computing skills.
Strong commitment to customer service combined with well developed analytical skills.
Experience and ability to positively interact with diverse student populations and groups.
Ability to perform the essential duties of the position with or without accommodation.
Administrative supervision is received from the Director of Housing Operations.
Ancillary supervision of summer conference coordinators, residence hall front desk and housing mailroom student employees.
Duties generally performed indoors with some outdoor activity required. Occasionally may require the operation of University vehicles. May be required to work occasional evening and weekend hours throughout the year.
