The Department of Medicine administrator reports to the department head and functions as part of the Department’s leadership team along with the faculty vice chairs for clinical affairs, education, faculty affairs & diversity and research. The administrator participates in strategy development and priority setting for the Department and leads the Department’s administrative organization. There are 300 paid faculty and 600 affiliate and adjunct faculty in Medicine, along with 240 residents and fellows and 250 staff. It is the largest unit in the Medical School. Annual clinical revenues are $95M, sponsored research expenditures are $35M and University non-sponsored expenditures are $73M. The Department is organized in 10 academic divisions and the Department administrator oversees the managers of these units. Other direct reports include the education manager and director of research. The Department administrator partners with faculty leaders from other departments, as well as other managers from throughout the Medical School, UMPhysicians, MHealth Fairview, the Minneapolis VA, Hennepin County Medical Center, Regions Hospital and other affiliate and contract sites.
The Department Administrator has responsibility in the following areas:
Support Faculty Achievement Across the Tripartite Mission: 30% • Support faculty leadership in achieving the desired balance of faculty effort across teaching, research, and clinical responsibilities. • Partner with HR and the Department’s Office of Faculty Affairs & Diversity on faculty hiring requests, searches, hiring, onboarding, mentoring, promotions and tenure. • Partner with clinical practice to manage faculty compensation to ensure consistent application of compensation model • Management oversight of education manager with joint accountability to vice chair for education and faculty program directors for operations and financing of UME and GME programs based in Medicine. Education staff includes 23 employees across the department • Management oversight of research director with joint accountability to vice chair for research and associate vice chair for clinical research. Staff includes pre-award team of five employees and clinical research team of eight employees.
Division Administrative Services: 30% • Management oversight of eight senior level division administrators with joint accountability to the 10 faculty division directors. • Lead process improvement initiatives to ensure effective, efficient administrative support. • Ensure excellent communication across the Department’s administrative units and faculty. • Oversee facility needs and technology needs of the Department
Clinical Oversight & Management: 20% • Serve as a member of the Department’s Clinical Service Unit (CSU) Governing Board. • Partner with leadership of MHealth Fairview service lines (four in which Medicine participates) and domains (four in which Medicine participates), Business Development, UMP clinical operations teams, and medical directors to achieve organizational goals and align priorities. • Partner with UMP practice management resources and utilize reporting for the to ensure optimization of faculty clinical practice • Implement practice management standards and policies of UMP and MHealth Fairview. • Provide inputs into CSU budgeting, monitor CSU budget and forecasts in partnership with UMP finance
Planning & Project Management: 10% • Partner with the Department head and other faculty leaders to develop and implement strategic initiatives. • Proactively identify challenges and provide problem solving recommendations. • Participate in committees and operational workgroups in collaboration with counterparts from the University, UMPhysicians, and MHealth Fairview.
Finance and Human Resources: 10% • Partner with Finance Director on finance needs of the department, including accounting, post award grants administration, budget and forecast development, financial reporting, performance analysis and compliance. • Partner with HR Manager on human resources needs of the Department, including employee relations, recruiting, compensation, payroll, leaves, HR transaction processing and compliance.
Required Qualifications: • Minimum of 12 years of related experience in a healthcare or academic setting, including a minimum of 5 years in a management role with supervision and budgetary responsibility • Strong service orientation, oral and written communication skills, judgment and the ability to work collaboratively with faculty, staff and students • Demonstrated project management skills • Leadership experience • Demonstrated ability to develop professionally and assume increasing levels of responsibility • Bachelor’s degree
Preferred Qualifications: • Master’s degree in Business, Healthcare Administration or related field • Experience in Academic and Clinical environments • Management experience in an academic, research, health care or similar setting, ideally with a physician leader • Knowledge of Six Sigma and/or Lean principles and systems • Knowledge of the administrative requirements associated with sponsored research, physician practice management
