Admin Coordinator II - Haslam College of Business, Global Supply Chain Institute
The University of Tennessee Knoxville, Global Supply Chain Institute (GSCI) is accepting applications for an Administrative Coordinator II position. The title to be used for this role is a Program Manager. This role will manage and support the operational aspects of the Global Supply Chain Institute (GSCI), including the UT Global Supply Chain Forum, the GSCI Advisory Board, the Advanced Supply Chain Collaborative, and others as needed. S/he will support the GSCI leadership team and will work collaboratively with the Director SCM Student Career Management, other GSCI program managers, Supply Chain Department faculty and staff, the Graduate and Executive Education (GEE) team, and other departments in the Haslam College of Business (HCB). Primary responsibilities include providing direct oversight and planning of events (UTK Global Supply Chain Forum, Advisory Board, Advanced Supply Chain Collaborative) including responsibility for account management and collection of financial contributions given by GSCI partners; coordinating event communication and registrations; management of projects as assigned by GSCI leadership team; managing the operational aspects of relationships with internal and external service providers; and leadership support for other GSCI activities as needed. The selected candidate will conduct planning and coordinating efforts in conjunction with the GSCI Executive Director, five GSCI directors, a large and diverse group of internationally-renowned faculty, a large base of executives from 75+ corporate partners, and multiple external service providers. S/he will interact regularly with senior business leaders and must represent the GSCI and the University with the highest level of professionalism and accountability. Primary Job Duties:
Event Planning and Management - Planning and execution of multiple major GSCI events annually (e.g. Forums, Advisory Board meetings, and Advanced Supply Chain Collaboratives) including the premier academic/industry gathering globally with an attendance of 300+ people twice per year. - Oversight responsibility for the complete event planning process: this includes booking venues, arranging catering, addressing all audio/video needs, event registration, communication, and attendance. - Responsibility for development and execution of any necessary contingency planning to ensure events occur as planned. - Serve as primary contact and support for 75+ corporate partners, speakers, and other participants. Provide high level of direct support to senior executives who speak at events and serve on advisory boards - Manage reporting and continuous improvement (speaker presentations, metrics, reporting ,etc)
Relationship Management (Business Partners, Faculty) - Serve as primary operational point of contact for 75+ partner contacts (and their administrative and/or executive assistants, if needed). - Manage communication (email, phone, and in person) and participation with partners - Plan and schedule a complex calendar of GSCI meetings and events for GSCI leadership team and faculty - Serve as primary point of contact for GSCI and related program information requests emanating from external sources - Bring visibility through routine pre- and post-event reporting to engagement relationship status of Forum and GSCI partners
Accounting, Budget, and General Administrative GSCI support - Manage billing for GSCI partners and programs and provide reporting relative to payments and budget - Maintain GSCI budgets and reporting; interface with Haslam College FIO and Dept of SCM contacts to ensure that GSCI financial resources are effectively stewarded - General administrative leadership for GSCIs
