Support Associate Director to collect, calculate, and publish IT metrics supporting business process analysis activities
Coordinates department events, such as staff meetings, training and career development events, and manages the IT Morale program. Supports CIO and Director of Business Operations in hosting and/or coordinating IT conferences, supporting the Annual ITS Merit Award Program, and other activities
Maintains IT organizational chart, staff listing, master contact information, and emergency contact tree
Coordinates the CIO's schedule and coordinates all department meetings
Answers CIO phone lines, triages messages
Reviews, handles, or re-routes e-mail communications while maintaining confidentiality
Submits reimbursement expense reports for CIO
Takes quality meeting minutes as required
Coordinates all travel arrangements for CIO
Under the supervision of the Associate Director, coordinates all FTE and IT Contractor New Arrivals, Moves, and Departures process for a group in excess of 275
Maintains and updates with arrivals/departures floor plans and determines seating assignments.
Responsible for all administrative functions related to the Travis street location, 4 floors and more than 100 individuals, including but not limited to maintaining office supply room, maintaining supplies for 3 kitchens, building maintenance and repairs coordination.

2-4 years' experience as administrative coordinator, or executive assistant
ADDITIONAL DESIRED SKILLS/QUALIFICATIONS:
Excellent organizational skills
Detail-oriented and efficient, the successful candidate will display exemplary customer service and communication skills
Proficiency in email programs, web-based calendaring, and Microsoft Office suite of applications required
Ability to work independently with minimal supervision
Strong oral and written communication skills - impeccable grammar is required
Proficiency developing graphically engaging presentation documents in Powerpoint, KeyNote, Prezio, etc.
Foundational knowledge and interest in information technology and management
Ability to maintain absolute confidentiality
Familiarity with surveying tools (e.g. Qualtrics, Survey Monkey) and Visio desirable
Experience working in a complex organization desirable
BA/BS or Associates Degree can be combined with experience.
