Provide coordination and patient scheduling support to the research staff in the Masonic Cancer Center Clinical Trials Office (CTO). The Clinical Research Associate will be a flexible resource, with the ability to prioritize and deal with a variety of tasks with different levels of complexity. The assistant will work closely with a spectrum of CTO team members including Clinical Research Coordinator Registered Nurses (CRC-RN), Clinical Research Coordinators (CRC), CTO Administrative Assistant, Program Managers, MHealth Nurse Coordinators, and MHealth schedulers. The Clinical Research Associate will report to the Clinical Directors of the CTO.
This position will be the point of contact for patient scheduling requests from the clinical research team. Upon receipt of the scheduling request, this role would collaborate with the MHealth Nurse Coordinators at the Clinic and Surgery Center to ensure that all necessary appointments are scheduled in a timely fashion.
Work with CRC and CRC-RNs to schedule research patients for research appointments, labs, and diagnostic studies
Communicate date/time of scheduled appointments with clinical research staff and clinical trial participants
Ensure scheduling of patients is complete and accurate, provide support for the Fairview scheduling team when questions arise, and work with the clinical teams to troubleshoot barriers to scheduling when they arise
Ensure appointments are scheduled within the defined parameters for each research trial
Communicate scheduling requests utilizing Epic messaging (electronic medical record)
Communicate with insurance companies, third party payers, and the Blood & Marrow Transplant Offices to minimize scheduling delays related to insurance inquiries
Document appointments in Google Calendar and create Calendar requests
Clinical Support: 30%
Assist CRC-RNs with the creation of BMT research Calendars and source documents including AE logs and concomitant medication log
Assist CRC-RNs with updating and uploading Eligibility Checklists
Assist CRC and CRC-RNs with the preparation of patient research folders including consent documents
Draft paper Beacon Order build requests for labs and imaging for review and submission by the CRC-RN
Coordinate with CRC-RN and CRCs to prepare lab kits and ensure delivery to required locations (sites within walking distance of office)
Monitor lab supply levels
File lab requisition slips
Coordinate package delivery and mail with a variety of transportation services, i.e. UPS, FedEx
Communicate with Sponsors of clinical trials regarding lab shipments
Communications Support: 10%
Schedule and assist with large group meetings
Transport patient files for review and signature of PI
Administrative Assistance: 10%
Additional duties as assigned which may include the following:
Assist with draft preparation for CTO Work Instructions, Standard Operating Procedures, Tools, and Policies for submission to Grand Avenue
Respond to inquiries and triage calls in the absence of the CTO Administrative Assistant
Maintain inventory and order office supplies as needed
Work with the Program Managers and CTO employees to coordinate auditor, monitor, and other guest visits
Salary Range: $19.93 to $29.76 USD/hour
All required qualifications must be documented on application materials.
High school diploma/GED plus at least five years of related work experience to include project and/or program coordination. Course work in a related field may be substituted for some of the years of experience.
Basic understanding of medical terminology
Experience providing administrative support and interacting professionally with a wide range of people (i.e. executive leaders, faculty, clinical team members, patients, and visitors)
Preferred Qualifications (Selection Criteria):
2 years of clinical experience as a medical office assistant, Certified Medical Assistant, or Medical Appointment Scheduler
Experience writing, editing, and proofing business communications such as meeting minutes, department announcements, presentations, manuscripts, and visual aids.
Experience prioritizing competing projects, planning, and executing large events.
Experience using MS Office Suite/Google/Epic/OnCore applications.
Demonstrated commitment to strong customer service, detail oriented, and excellent communication and interpersonal skills.
